Creating A Master List of Center Student Names/Addresses

There are two queries in the University College folder in MaineStreet's Query Viewer that contain student/address data by center.

  • The UC_CENTER_ADDRESSES_NONWEB query returns names and addresses of students taking a course at your center or one of your sites.  You are prompted for term (e.g. 0910) and center.
  • The UC_CENTER_ADDRESSES_WEB query returns names and addresses of students who are taking an online course AND whose academic program lists the center as the student's campus.  You are prompted for term and campus (not the same as center).

Each query should return only one record for each student, however, there will likely be some overlap of students between the two groups.  By following these instructions, you will end up with one master list of names/addresses of your center's students, including those who are taking online classes only.  Use this list to create mailing labels for center publications.


  1. Run UC_CENTER_ADDRESSES_NONWEB from Query Viewer and download to Excel
    • Term = 0910; Center = BATH, ELLS, EMLL, HOUL, PENQ, ROCK, RUMF, SACO, SANF, WMCC
    • Save with appropriate name (e.g. ELLS_WEB)
    • Delete first row in Excel (right-click the row - Delete)
  2. Run UC_CENTER_ADDRESSES_WEB from Query Viewer and Download to Excel
    • Term = 0910; Campus = BBC, ELL, EML, PEN, ROC, RUM, SAC, SAN, HOU, SOP, THM
    • Save with appropriate name (e.g. ELL_WEB)
    • Delete first two rows in Excel (right-click the rows - Delete)
  3. Combine the two Excel workbooks into one
    1. Open or navigate to UC_CENTER_ADDRESSES_NONWEB
    2. Append UC_CENTER_ADDRESSES_WEB data
      • Highlight all of the rows in UC_CENTER_ADDRESSES_WEB - copy
      • Paste in the first cell of the first row below UC_CENTER_ADDRESSES_NONWEB data
    3. Save the workbook
  4. Filter out duplicates
    1. Click "Remove Duplicates" in the Data Tools group of the Data tab of the ribbon

    1. Click OK in the Remove Duplicates dialogue box
    2. You should now have a unique list of names and addresses for all students associated with your center.

  1. Create mailing labels by using Word's Merge feature.
